Every lot traced back to its field — in Odoo, not a paper file.
Every sector has one process that generic ERP handles badly. Lot traceability is a paper file nobody can search during an audit. We start there, because fixing that is what makes the rest of the rollout worth doing.
—— Where it hurts
What usually breaks first.
The audit asks for a lot number; you have a paper harvest log
A GAP or export-buyer audit starts with one question: which plot did this lot come from, and what was sprayed on it. When the answer lives in a paper harvest log and a spray diary at the field office, one trace takes days and depends on who kept the book. Odoo assigns the lot at intake and carries it through drying, sorting and packing, so the trace is a query, not a search party.
Crop-cycle costs that never add up to a cost per rai
Seed, fertiliser, spraying, labour and diesel go out over six months; the money comes in once, at harvest. Standard accounting posts those costs to whatever month they landed in, so nobody can say what this season's crop on this plot actually cost. We set up analytic accounts per plot and crop cycle, so every purchase and timesheet books against the season it belongs to.
Weighbridge tickets and moisture cuts that never reach accounting
Buying from growers at the gate does not look like a purchase order. The weight comes off the weighbridge, the price moves with grade and moisture deduction, and the final amount is only known after the lab result. When those tickets are keyed into Excel and re-keyed into accounting, grower payments slip and reconciliation eats the week after every harvest peak.
—— Where you start
Three starting points we see most.
Where you start · 01
From spreadsheets
Orders, stock and costing live in files only one person understands. We move the highest-risk sheet first, so value lands in weeks, not quarters.
Where you start · 02
From a legacy system
The old ERP still runs, but nobody dares change it. We migrate in validated batches while it keeps trading, with a rollback point at every step.
Where you start · 03
Adding a site or a company
Growth broke the single-database assumption. We restructure for multi-company, multi-warehouse and consolidated books without stopping operations.
—— Modules
The modules this sector actually starts with.

—— How the rollout runs
A sector template, tuned to how you actually work.
Walk the process
We follow one real order end to end — quote to cash, or purchase to pay — before touching a configuration screen.
Configure the sector baseline
The modules this sector starts with go in first, configured against your master data rather than demo records.
Pilot with one team
One site, one team, one month. The pilot decides what scales, and its objections reshape the template before anything else ships.
Scale and hand over
Remaining sites onboard on a fixed rhythm, each with documentation and a trained super-user of its own.

—— FAQ
Questions teams ask about this service.
How do we cost a crop cycle when spending runs for months before any revenue?
With analytic accounts: one per plot and crop cycle. Every purchase, stock issue and labour entry carries that tag, so at harvest you see the true cost of the season, not just a monthly P&L. Cost per rai or per tonne then falls out of a report instead of a year-end spreadsheet exercise.
Can Odoo handle lot traceability for GAP and export audits?
Yes. Lot tracking is standard in Odoo Inventory, and it works in the Community edition too. The hard part is operational discipline: the lot must be assigned at field intake and preserved through every processing step, or the chain breaks. That intake process is where we spend most of the setup effort.
Can Odoo connect to our weighbridge and pay growers on graded prices?
Most weighbridge indicators export weight tickets over serial or as a file drop, and we bring those into Odoo as receipts, so the recorded weight is the ticket weight rather than a typed copy. Grade and moisture-deduction pricing sits on the purchase side, so the grower's payment is computed from the ticket and the lab result instead of being renegotiated in Excel.
Let's find out whether Odoo actually fits your business.
A short call, an honest answer. If it isn't the right system for you, we'll say so.
