Term billing built in Excel, reconciled by nickname
Each term, every student needs an invoice assembled from tuition, transport, meals and materials, minus a sibling discount or a scholarship. Finance builds it in Excel and mail-merges the PDFs. Then the payments arrive as bank transfers referenced with a child's nickname, and the first two weeks of term go to matching money to students by hand.
Admissions, the class roster and the fee ledger are three different lists
A student withdraws in week three. The roster gets updated, the fee ledger does not, and a payment reminder goes to a family that already left. The pro-rata refund is worked out on a calculator, differently each time. Ask three offices for the enrolment number and you get three answers.
Part-time teacher pay rebuilt from the timetable and a group chat
Hourly instructors are paid from the timetable, but substitutions and cancelled classes live in a group chat. At month end someone reconstructs each teacher's actual hours from the schedule, the chat history and memory, then re-keys the totals into payroll. The disputes arrive the following week.

Can Odoo handle term-based tuition with instalments, sibling discounts and scholarships?
Yes, and for most schools without custom code. Each fee component is a product line on the invoice, sibling discounts and scholarships are pricelist rules or explicit discount lines, and instalments are payment terms. Invoices generate per term from the enrolment, so what a family owes is always readable from one document.
We already have a student information system and an LMS. Does Odoo replace them?
No, and it should not try. Grades, attendance and course content stay in your SIS and LMS. Odoo takes the money and operations side: enrolments as orders, tuition as invoices, teachers as employees. We sync students and enrolments through the API so nobody re-keys names between systems.
Our admin budget is small. Do we need the paid version of Odoo?
Often not at the start. The Community licence costs zero and covers invoicing, CRM, events and contacts — most of what a school office runs on. You pay for implementation and hosting, both under a fixed written scope per phase. Enterprise only enters the picture for specific apps such as Payroll, and we tell you before it does.
