Consumable lots and expiry dates live on a marker pen

Receiving writes the lot number on the box, not into a system. Expired anaesthetic or reagents surface mid-procedure or during a supplier recall, and nobody can say which patients the affected lot reached. That traceability gap is what lot-tracked inventory with first-expiry-first-out picking closes.

The treatment sheet and the invoice never match

The clinician records the procedure in the HIS or on paper, and the front desk re-types it into a separate billing program. Items used in the chair — an implant, extra consumables, a second consultation — drop off the invoice. The insurance portion is then split from the cash portion by hand at month-end.

Reordering by shelf-glance, not by procedure count

Stock is not deducted when a procedure is performed, so on-hand counts drift within a week. Purchasing reorders after a walk through the stockroom, which ends in emergency buys at retail price — when the list of booked procedures could have predicted the shortfall days earlier.

Can Odoo track lot numbers and expiry dates on medical consumables?

Yes. Odoo Inventory records lot and expiry at goods receipt, picks first-expiry-first-out, and flags stock before it expires. The traceability report shows every movement of a lot, so a supplier recall becomes a database query instead of a phone-around. All of this works in the Community edition, so the licence cost is zero.

Is Odoo a medical records system? Where do PDPA and HIPAA fit?

No, and we will not sell it to you as one. Clinical notes stay in your HIS or EMR; Odoo holds appointments, stock, purchasing and billing. Because the Community edition is self-hosted, patient-identifying data sits on your own server in your own country, and role-based access controls who can open a patient's record.

We already run an HIS. Does Odoo replace it or connect to it?

Connect. The usual split: the HIS stays the clinical system of record, and Odoo takes everything commercial — purchasing, stock, invoicing, payroll. Odoo's API handles the link; a typical integration pushes completed treatments into Odoo as invoice lines, so the front desk stops re-typing billing.
