Every check gets done. Every audit still turns into a paper hunt.
The checks happen — incoming inspection, in-process measurements, a final sign-off before shipping. But each result lives on a form that goes into a binder, and the binder is where the information stops. When an auditor or a customer asks you to prove what happened to one specific lot, the plant drops real work to go digging.
—— Sound familiar?
You know this problem by these symptoms.
The incoming inspection sheet is filled in carefully, filed in a binder, and never looked at again until an auditor asks.
Two weeks before every audit, the quality manager stops managing quality and starts assembling evidence.
A customer asks for the test results behind one delivery, and the answer takes a day and three binders.
A failed check becomes a note in the margin, and whether anyone followed up depends on who was on shift.
The same defect keeps coming back, because paper forms get filed — never counted, compared or trended.
A paper form is built to prove one thing: that a check happened at one station on one day. The moment it goes into the binder, it detaches from everything an audit actually asks about — the lot, the purchase order, the work order, the instrument, the follow-up. The evidence exists, but it is organised by filing date instead of by product, so reconnecting it costs human hours every single time. That is a structural property of paper, not a gap in your team's discipline.
—— The way out
How Odoo closes this gap.
A control point at every step that matters
Odoo's Quality module lets you define quality control points on the operations you already check — goods receipt, a specific work order operation, or the final transfer before delivery. The system raises the check automatically at that step, the operator records a pass/fail or a measurement against your tolerance, and the result attaches itself to the lot, the order and the person who checked. Nothing waits for filing, because the record is born linked.
A failed check opens a case, not a margin note
When a check fails, Odoo raises a quality alert — a nonconformance record with its own owner, root-cause notes and corrective actions, tracked on a kanban board until it is closed. The suspect lot can be blocked from moving until someone signs it off. Follow-up stops depending on who was on shift, because an open alert is visible to the whole team.
Audit evidence the system assembles for you
Every check in Odoo carries a name, a timestamp, the criteria used and the result, linked to its lot and order. The traceability report walks a lot from goods receipt through production to the delivery it shipped on, with the quality records along the way — so one auditor question becomes a filtered report printed in minutes. Between audits, the same records give you failure rates by product, supplier or work centre.
Instruments and machines on a calibration calendar
Audit findings often start with an out-of-calibration gauge, not a bad product. The Odoo Maintenance app keeps each instrument and machine as a piece of equipment with its own preventive schedule, so calibrations and services are planned jobs with a history — not reminders in someone's notebook. When a machine on the line starts acting up, the operator raises a maintenance request straight from the work order screen.
—— How we run it
The transition, managed properly.
Your check sheets become the configuration
We do not design quality from a blank page — your existing paper forms already hold the checks, tolerances and sign-offs that matter. We map them into Odoo control points field by field, with the scope for the phase fixed in writing before work starts.
One pilot line, paper still running
Control points go live on one line or one product family first — usually the one your audits weigh heaviest. The paper forms keep running beside Odoo until the records match through a full cycle, and only then does the rollout extend to the next line.
Training at the station, on live data
Operators learn the check screens at their own workstation, on live products and real tolerances rather than a demo database, in Thai or English. The consultant who scoped the project runs the training and stays through go-live.
—— FAQ
Questions teams ask about this problem.
Will Odoo records satisfy our ISO 9001 or customer audits?
Odoo produces the evidence auditors ask for: who checked what, when, against which criteria, what the result was, and what happened after a failure — all timestamped and linked to the lot. Certification itself is between you and your auditor, and we will not pretend software replaces a quality system. What changes is that assembling evidence takes minutes instead of weeks.
Our operators are used to paper. Will screens slow the line down?
A check in Odoo appears on the work order screen at the station where the work already is — pass or fail is one tap, and a measurement is typed once instead of written, filed and re-found later. On the pilot line the two systems run side by side, so you measure the difference on your own floor instead of taking our word for it.
Do we need Odoo Enterprise for quality management?
The Quality and Maintenance apps are part of Odoo Enterprise, so this is one of the cases where the $0 Community licence is not the whole answer. The Enterprise licence is billed by Odoo directly and we never mark it up, and our written scope states exactly which edition your case needs before you commit to anything.
Our next audit is in four months. Is that enough time?
Often yes, for a pilot scope: control points on the line or process your audit weighs heaviest, live and generating linked records well before the date. We plan backwards from the audit and tell you in writing what fits — and if the timeline is too tight to do properly, we say so instead of promising it.
Let's find out whether Odoo actually fits your business.
A short call, an honest answer. If it isn't the right system for you, we'll say so.
